1. Introduction
DynaTrail Dispatch (“DynaTrail”, “we”, “us”, or “our”) respects your privacy and is committed to protecting personal information.
This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our website, software platform, and DynaTrail Dispatch - Drivers mobile application (collectively, the “Service”).
By using the Service, you agree to the practices described in this Policy.
2. Information We Collect
We collect information necessary to operate a transportation dispatch and billing platform.
A. Account Information
- Name
- Company name
- Email address
- Phone number
- Login credentials
B. Operational Data
- Dispatch records
- Client and consignee information
- Carrier records
- Driver records (including license details and employment-related data)
- Equipment details
- Terminal information
- Trip data (pickup/delivery, rates, customs brokers)
- Uploaded documents (PODs, BOLs, customs documents, invoices)
C. Financial Data
- Subscription payment details processed via Stripe
- Billing contact information
- Transaction history
We do not store full credit card numbers. Payment processing is handled by Stripe.
D. Usage & Analytics Data
We use analytics tools to collect information such as:
- IP address
- Browser type
- Device type
- Pages visited
- Session activity
- Referring URLs
This data is used to improve system performance and usability.
E. Location Information
The DynaTrail Dispatch - Drivers mobile application collects location information from a driver's device while the driver is logged into the app. Location may be collected while the app is open and in use and while the app is running in the background.
Location information is used to:
- Verify a driver's arrival and check-in at assigned pickup and delivery locations
- Provide authorized dispatchers within the driver's company with near real-time truck and driver location information
- Record location updates approximately every 10 minutes to create trip breadcrumb and location history
- Support operational, performance, and analytics features
Location information may be stored by DynaTrail as part of trip and operational records and may be visible to authorized users of the applicable DynaTrail account.
DynaTrail does not sell driver location information or use driver location information for third-party advertising.
3. Cookies & Tracking Technologies
We use cookies and similar technologies to:
- Maintain login sessions
- Improve platform performance
- Analyze site usage
- Support system functionality
You may disable cookies in your browser settings; however, portions of the Service may not function properly without them.
4. How We Use Information
We use collected information to:
- Operate and provide the Service
- Process subscription payments
- Sync data with third-party integrations
- Send operational emails (invoices, confirmations, documents)
- Send product update communications
- Provide driver location tracking, arrival verification, check-in functionality, and trip breadcrumb history
- Support operational analytics and platform improvements
- Improve platform functionality
- Maintain system security
We do not sell personal or business data.
5. Communications
The Service enables operational emails including:
- Rate confirmations
- Carrier confirmations
- Driver notifications
- Invoices
- Bills of lading
- Customs documentation
We may also send account-related communications and product update emails.
You may unsubscribe from non-operational update emails at any time.
6. Third-Party Service Providers
We use trusted third-party providers to operate the Service:
Stripe
Processes subscription payments. Stripe may collect and process billing
information in accordance with its own Privacy Policy.
QuickBooks
Used for accounting integrations. Information synced to QuickBooks is
governed by QuickBooks’ policies.
Amazon Web Services (AWS)
Hosts application infrastructure and data storage
(United States region – San Francisco).
We are not responsible for the independent privacy practices of these providers.
7. Data Storage & Security
Data is hosted in the United States.
We implement commercially reasonable safeguards including:
- Encryption at rest
- HTTPS encryption in transit
- Role-based access controls
- Authentication protections
No system is completely secure. We cannot guarantee absolute security.
8. Cross-Border Data Transfers
Because our infrastructure is hosted in the United States, your information may be transferred to and stored outside of your country of residence.
By using the Service, you consent to this transfer.
9. Data Retention
We retain information for as long as necessary to:
- Provide the Service
- Comply with legal obligations
- Resolve disputes
- Enforce agreements
Trip and operational records may include stored driver location and breadcrumb history collected through the DynaTrail Dispatch - Drivers mobile application.
Data may remain in backups or archives for a period of time after account cancellation.
Export functionality is not guaranteed.
10. Your Rights
Depending on your jurisdiction, you may have rights to:
- Request access to your data
- Request correction of inaccurate information
- Request deletion where legally permitted
